Volunteer Requirements

It takes a village, or in our case a small country, to run a swim meet!  All families are required to volunteer in some capacity at swim meets.  The requirements are as follows:

  • One swimmer per family:  3 sessions during the season

All families are encouraged to choose their own jobs.  If you don't sign up for jobs, the swim director will sign you up for a job.


Job Descriptions

Timing: Timers wear two stopwatches, and time the swimmers. Operation of a stopwatch includes pushing the start and stop button and clearing the stopwatch.  At home meets, timers are required to record the times on the time sheets. Timers should have good penmanship. They should ask the child "What is your name?" before they enter the pool. A back-up timer (or two) will also be utilized. If a timer misses a start, the back-up timer will be called. Timers should record a time only after starting the next race with the 2nd watch. These volunteers report to Phil Larson. There will be a timers meeting 15 to 20 minutes prior to the start of the meet.

Staging: Volunteers that work this job organize the swimmers for their events. Swimmers are typically "staged" 3-5 events in advance of their swims. These volunteers should simply be organizers. It is ultimately the responsibility of the swimmers/parents to pay attention. Staging volunteers may announce missing swimmers over the PA once, but will move on if no swimmer is located. Please be in position by 5:40.

Ribbons: This is a 2nd half position only. The ribbon volunteers affix place ribbons with name/time labels. These volunteers report to the home team scoring table.

Runner: This job happens only at  home meets.  These volunteers collect all time sheets from the timers. Then the volunteers deliver the sheets to the scoring window. This person reports to Phil Larson.

Parking Attendant: This job only happens at home meets.  Parking volunteers direct pre-meet traffic to ensure that parking occurs only in designated areas. Once the meet begins, volunteers may be needed sparingly. A "safey vest" is provided.  Parking volunteers report to Crystal Silvers in the clubhouse. Please arrive at 5:00.

Set Up:  This job only happens at home meets. Setup volunteers meet the morning of our home meets at about 6:30am. These volunteers prepare the pool deck for the meet. 

Clean Up: This job only happens at home meets.  Cleanup volunteers are responsible for making sure the pool deck is back in its pre-meet condition. These volunteers report to Crystal Silvers.

Swimmer/Volunteer Check-in: Check-in swimmers and volunteers prior to the meet. These volunteers report to Crystal Silvers. Please arrive by 5:00.

Trash/Bathroom Monitor: This job only happens at home meets.  Empty trash on pool deck and in bathrooms. Make sure bathrooms are stocked with supplies. This volunteer reports to Crystal Silvers.

Scoring Verifier: This job only happens at away meets. Check the results printed from the computer after each event against the timer sheets to be sure the data was entered accurately. If there's a discrepancy between timer sheets and computer printed times, these times are circled and returned to the computer operator to complete. This role requires a level of quickness to assure no delays in finalizing scores. These volunteers report to the home team scoring table.

Heat Prize Distribution: This job happens only during home meets.  The Heat Prize Distributor will present each heat winner their prize upon their exit from the pool.  Prizes are tickets that can be exchanged for candy or beads.

Concessions: This job happens only during home meets.  Concessions are sold in the air conditioned clubhouse.  Volunteers are responsible for distributing concessions and collecting money.  You will be able to walk out on the balcony to watch your swimmer(s) race. Please arrive by 5:20.
